Introduction:
The Tennessee Commission on Aging and Disability (TCAD) serves as the State Unit on Aging for the 1.7 million older adults and adults with disabilities in Tennessee. This diverse population includes individuals with a wide range of needs and circumstances, from those who require minimal assistance to those in need of extensive support and care services. TCAD plays a critical role in advocating for these individuals, ensuring they have access to essential resources, programs, and services that promote independence, health, and safety.
Though the aging population it served was booming, it had been two decades since TCAD had made significant updates to its data collection process and system, limiting the agency’s ability to make data-driven decisions to support the population it serves. Recognizing the critical importance of modernizing its data collection and analysis capabilities, TCAD embarked on an initiative to upgrade its systems.
Solution: Modern client data system designed for aging & disability
After an extensive search process, TCAD selected Mon Ami as its technology partner to embark on the modernization journey. Working with Mon Ami, TCAD implemented a statewide data system to replace its prior legacy system. The new system designed by Mon Ami is purpose built for Area Agencies on Aging and State Units on Aging, allowing each AAA to manage its own clients, programs, and providers with intuitive, user-friendly tools for frontline staff. All the AAA data rolls up to the state, automatically consolidating data and reporting for state and federal requirements like the Older Americans Act Performance System’s (OAAPS) State Performance Report (SPR).
Result: Fast onboarding, efficiency gains, and on-time reporting
TCAD was able to transition to Mon Ami’s off-the-shelf solution for state agencies in less than six months, including a migration of historical data from the legacy system into the new system, configuration, and training. This was a result of using Mon Ami’s custom-off-the-shelf solutions for aging and disability that allowed TCAD to get up and running quickly and efficiently.
A top priority upon launch was streamlining the process for federally mandated reporting for the State Performance Report (SPR), a process that could previously take months of staff time to complete. After launch, TCAD was able to for the first time submit its required state performance reporting ahead of the deadline and with minimal effort. Now, any staff member of the agency has access to data analytics and reporting dashboards at their fingertips.
